Title: Church Office Administrative Assistant

Work Schedule: In-Office 16-18 hours per week*

Ideally, the candidate will be in person 4-6 hours/day

Monday-Thursday between 9:00am-5:00pm

*During Advent & Lent, we may need to have up to

25 weekly hours



Probationary Period: The first 90 days of employment shall constitute a probationary period during which the Church may, in its absolute discretion, terminate the Administrator’s employment for any reason without cause or notice. 



Nature and Scope of Position:


The Administrative Assistant facilitates the flow of information and communication between the Church staff, members and the public, keeping the daily functions of the Church office running efficiently. The Administrative Assistant actively supports the Church in sharing its core values, mission statement and ministries to the community by providing administrative support to the Pastor, Church staff and leadership teams (Deacons & Session). 



Essential Functions: 

  • Performs administrative tasks as required by the Pastor and Church staff members. 

  • Produces weekly Sunday Worship Bulletin by acquiring information from Pastor, staff members, committees, and Congregation members. 

  • Produces weekly Sunday Worship Liturgist Copy & Pastor Copy from templates and liturgical resources including Seasons of the Spirit, Feasting on the Word, Presbyterian Outlook, and others. 

  • Produces and disseminates weekly email announcements by entering content into pre-formatted Mailchimp templates.

  • Attends weekly Zoom staff meetings

  • Prepares and produces electronic and print versions of monthly newsletter and annual report. 

  • Prepares and produces material for special services and seasons during Advent, Lent, etc. 

  • Maintains electronic version and physical white board version of the Church master calendar of events and building usage. 

  • Answers Church telephone calls, responds to requests and forwards as required. 

  • Updates Hymn Board in sanctuary for in-person services.

  • Maintains Church membership database and provides reports or information as requested.

  • Strong communication skills to effectively represent the Church and respond to a wide variety of individuals, in person, by email and over the phone.  

  • Must respond to requests in a respectful, compassionate and timely manner.

  • Maintain strict confidentiality with personal and sensitive information that may be disclosed by Congregation members or learned through interactions with the Pastor or Church staff.

  • Self-motivated and able to carry out job responsibilities with minimal supervision.

  • Willingness and ability to learn and efficiently deploy new software solutions and recommend new ideas or approaches.

  • Versatility, flexibility and a willingness to adapt to changing priorities.


Preferred Education and Experience:

  • Associate Degree/Bachelor’s Degree Preferred

  • High School/GED equivalent required

  • 2-4 years of office administration experience

  • Expertise and proficiency in Google Workspace Suite and Microsoft Suite

    - Calendar package (i.e., Google Calendar & Outlook Calendar) 

    - Word Processing functions (i.e., Google Docs & Word)

    - Spreadsheet function (i.e. Google Sheets & Excel)

    - Presentation software (i.e., Google Slides & Powerpoint)

  • Experience with printing software (i.e. HP PageWide Management Color Flow) 

  • Familiarity with database programs (i.e., Church management system)

  • Experience using social media software, web-based photo programs, graphic images and/or website templates
